NATURE OF WORK

 

Medical Records SupervisorYou will organize and maintain medical records in accordance with accreditation standards; code diagnoses and treatment services; review medical records for completeness and accuracy; calculate statistics concerning the utilization of facility beds; and supervise Medical Records Assistants.

 

Medical Records DirectorYou will plan and direct the operations of the medical records departments in a state center, state hospital, correctional facility, or veterans’ facility; maintain ongoing quality assurance monitoring; review and develop facility procedures concerning medical records; and supervise Medical Records Assistants or Medical Records Supervisors.

 

JOB REQUIREMENTS

 

You must be able to perform the essential functions of the job.  Pennsylvania residency is currently waived for these job titles.

 

Some of the positions in these job titles come under the provisions of the Child Protective Services Law.  If you are a final candidate for one of these positions, you will have to provide reports on your background from such sources as the Pennsylvania State Police and the Pennsylvania Department of Public Welfare.  If you are a final candidate and not a Pennsylvania resident, you must also obtain a report of Federal Criminal History Record Information from the Federal Bureau of Investigation.  If your background is unacceptable, you will be disqualified for employment in such positions.  You will receive information about these requirements and how to obtain the required reports at the time you are being considered for employment.

 

Some of the positions in these job titles come under the provisions of the Older Adults Protective Services Act.  If you are a final candidate for one of these positions, you will have to obtain a report of criminal record information from the Pennsylvania State Police or a statement that the State Police Central Repository contains no information relating to you.  If you are a final candidate and not currently a Pennsylvania resident, or if you are currently a Pennsylvania resident and a final candidate but have not been a resident for two years prior to the date that you received notification that you are a final candidate, you are also required to furnish a report of Federal Criminal History Record Information from the Federal Bureau of Investigation.  If your background is unacceptable, you will be disqualified for employment in such positions.  You will receive information about these requirements and how to obtain the required reports at the time you are being considered for employment.

 

For positions in the Pennsylvania Department of Corrections

You must pass a background investigation.  After you receive a conditional offer of employment, you must undergo a medical examination.

 

After being hired, you must attend and complete a 3 week basic training program at the Pennsylvania Department of Corrections' Training Academy in Elizabethtown, PA, which is located in Lancaster County.

 

For positions in the Pennsylvania Departments of Military and Veterans Affairs, and Public Welfare

After you receive a conditional offer of employment, you must undergo a medical examination.

 

Necessary Special Requirement for Medical Records Supervisor (39010)

Possession of a valid Registered Health Information Technician (RHIT) certificate or a Registered Health Information Administrator (RHIA) certificate issued by the American Health Information Management Association (AHIMA), or eligibility for certification including completion of an AHIMA approved RHIT or RHIA Health Information Management education program.

 

Post-Employment Requirement for Medical Records Supervisor (39010)

If you meet the Necessary Special Requirement based on the eligibility option for the RHIT or RHIA certification, you must obtain one of these certifications within 12 months of employment.

 

Minimum Requirements for Medical Records Director (39020)

Registration as a Registered Medical Records/Health Information Administrator with the American Health Information Management Association; OR 2 years of experience as a Medical Records/Health Information Technician and registration as a Medical Records/Health Information Technician with the American Health Information Management Association; OR 4 years of experience in preparation, classification and abstracting of medical reports in a medical records department; and registration as a Medical Records/Health Information Technician with the American Health Information Management Association.

TESTING

 

Your application will be evaluated to determine whether you possess the Necessary Special Requirement for Medical Records Supervisor and the Minimum Requirements for Medical Records Director.  If you meet these requirements, you will receive a score.

 

You must provide complete and accurate information.  You must list your certification number as a Medical Records/Health Information Technician or Administrator in the “Licenses or Certificates” section of your application for Employment/Promotion. 

 

Failure to do so may delay the processing of your application, or result in a lower-than-deserved score or disqualification.

 

If you were previously determined to be ineligible, but now meet the requirements, you may reapply at any time.  A new application is required for a retest.

 

TEST RESULTS

 

Employment and promotion lists will be established.  You will be notified in writing of your test results.
