NATURE OF WORK
Records Specialists and Corrections Records Specialists maintain a Records Unit at a State correctional facility, or the Central Office Centralized Sentence Certification Unit headquartered in Cumberland County. You will file inmate criminal history and identification documents, process inmate population movements, and photograph and fingerprint inmates.
Records Supervisors and Corrections Records Supervisors work in State correctional facilities, or within the central office, where they supervise Records Specialists, Corrections Records Specialists, and clerical staff who maintain the criminal records units.
JOB REQUIREMENTS
You will be tested before your qualifications are reviewed. Your test results will count only if you meet all job requirements. If after reading the requirements you are not sure you qualify, contact one of the Commission's offices listed at the end of this announcement.
You must be a Pennsylvania resident, of good moral character and able to perform the essential functions of the job.
You must pass a background investigation. After you receive a conditional offer of employment you may have to undergo medical screening.
If you are not currently employed by the Pennsylvania Department of Corrections, you must attend and complete a 2 week (Records Specialists and Supervisors) or 3 week (Corrections Records Specialists and Supervisors) basic training program at the Department of Corrections' Central Training Academy in Elizabethtown, Pennsylvania (Lancaster County).
Minimum Requirements
Records Specialist 1 – Two years of clerical or correctional custodial experience. College level courses may be substituted for the required experience on a year-for-year basis; OR an equivalent combination of experience and training.
Records Specialist 2 - One year of experience as a Corrections Records Specialist; OR 1 year of experience as a Records Specialist 1; OR 3 years of clerical or correctional custodial experience, including 1 year in specialized records work in a correctional institution. College level courses may be substituted for the non-specialized experience on a year-for-year basis; OR an equivalent combination of experience and training.
Corrections Records Specialist - Three years of clerical or correctional custodial experience in a correctional institution. College level courses may be substituted for the required experience on a year-for-year basis; OR 1 year of experience as a Records Specialist 1; OR an equivalent combination of experience and training.
Corrections Records Supervisor - Two years of experience as a Corrections Records Specialist; OR 1 year of experience as a Records Specialist 2; OR an equivalent combination of experience and training.
Records Supervisor - Two years of experience as a Corrections Records Specialist; OR 1 year as a Records Specialist 2; OR an equivalent combination of experience and training.
Clarification of Requirements
Records Specialist 1 and Corrections Records Specialist
Any college coursework may be substituted for experience on a year-for-year basis.
Records Specialist 2, Records Supervisor, and Corrections Records Supervisor
Education may not be substituted for the required experience.
“Specialized work in a correctional institution” is experience in a correctional institution interpreting and analyzing court orders, computing sentences, determining minimum and maximum sentences, and re-configuring sentences for parole violators.
Records Specialist 1, Records Specialist 2, and Corrections Records Specialist
“Correctional custodial experience” includes experience as a Corrections Officer, Prison Guard, or other similar experience which included responsibility for the care, custody, and control of inmates.

All positions are in the Pennsylvania Department of Corrections. Most positions are located in the central offices in Cumberland County. Some are located throughout the State at State Correctional Institutions. Approximately five appointments and promotions from lists are made annually to each title.

TESTING
The test will be administered on a computer. Information about computerized testing is available online at www.scsc.state.pa.us OR in paper form at any State Civil Service Commission office.

The test will be administered in the Harrisburg, Philadelphia and Pittsburgh State Civil Service Commission offices, Monday through Friday.
The test also will be held approximately 10 days a month at additional test centers located in Allentown, Erie, Johnstown, Lock Haven, and Scranton. If you take the test and want to take it again, you may be retested after 6 months from the date of your test. You must submit a new application to be retested.
If your name is on an eligible list for these job titles and you take this test, your most recent examination result will be the only one counted.
TEST RESULTS
Employment and promotion lists will be established. You will be notified in writing of your test results.
