Cost FAQ's

  • The Client Data Management does not require additional fee, correct?

Correct. The entire ETO software is covered under the contract for three years. The costs of ETO includes all the components of the software—Client/Data Management, Aggregate Reporting and the Outcomes (ESQ-LF) Reporting. If an agency would like more than 5 users for the Client/Data Management component, there is a fee of $117.27 per additional user per year.

  • Will there be a cost if we are just using the aggregate report and outcomes function and not client/data management?

PCCD entered into a 3-year contract with Social Solutions that covers the purchasing of the software and two years of maintenance and support. Victim service programs will not incur any costs during this time period UNLESS they need/want more than 5 user licenses. The Governance Committee is focused on the future financial sustainment of ETO after those three years. As the Governance Committee secures future funding, it will be communicated to the victim service programs.

  • Is the Governance Committee looking to extend the funding for all components of ETO, or only the mandated components?

    All the components.

  • If we use Client Data Management to track services for other funding streams such as RASA, will it cost extra?

ETO is not being configured to include the RASA report. The RASA report is not included in the scope of this project, so it would cost an agency money to request Social Solutions to configure this custom report.

  • What about costs for customizing information for the specific needs of each agency?

The configuration of the ETO software will encompass all the core demographic and client service provision as well as volunteer and education/training information that VOCA, PCAR, and PCADV currently require agencies to report on. A victim service program will have the ability to add other data fields to collect additional information.

If a victim service program wishes to have a customized report developed such as one for the United Way, there would be an additional cost that Social Solutions would charge to the victim service program since it is outside the scope of the project.

  • If funding becomes unavailable, what does an annual maintenance contract cost?

The annual maintenance and support costs are $177,895.44/year. We understand the importance of knowing the “potential” costs to victim service programs if there is no funding available to pay for the yearly/ongoing maintenance and support of ETO. Therefore, we wanted to provide cost information in regards to the worst case scenario. $175,895.44 divided by 116 victim service programs=$1516.34 annual cost/per program. This cost does not take into consideration the amount of money PCCD, PCAR and PCADV will pay for utilizing ETO for the aggregate information.

  • In the event that the Governance Committee can't sustain the project, and the individual agency cannot support the cost, would we still be able to have access to the data that we collected using this program?

Yes, in the event that happens you would still have access to the data.

  • Will there be any cost reductions or grants to help pay for this program?

Not at this time, but the Governance Committee is focused on the future financial sustainment of ETO after the three year contract expires. As the Governance Committee secures future funding, it will be communicated to the victim service programs.
